SUMMARY: The incumbent of this position provides support on the departmental Federal advocacy work, assists in coordination of activities related to the elected leadership, and supports work on relationships with state associations and other affiliate organizations.

 

MAJOR RESPONSIBILITIES:

Supports AASA’s Advocacy Work

  •  Attends, scribes and contributes to the planning and implementation of meetings, events and projects managed by the advocacy department, including but not limited to advocacy component of NCE, the annual legislative conference, the legislative agenda planning meeting, hill visits related to external advocacy contracts, and other AASA meetings and events that include an advocacy element.
  • Maintains AASA advocacy website, ensuring content is current, up to date, and reflects AASA’s advocacy efforts and priorities.
  • Supports advocacy department work related to oversight of Rural School and Community Trust.
  • Coordinates with the events team to provide information needed for successful event planning.
  • Coordinates and tracks ongoing evaluations (for individual events and overall) and gathers results for review.

  Coordinates and Supports Governance Activities

  • Assists in planning and implementation of AASA governance meetings, for both Executive Committee and Governing Board.
  •  Supports department in work to maintain, revise and disseminate governance documents, including legislative agenda, bylaws, and position and belief statements
  • Attends, capture notes and assists in question and answer session at Governing Board meetings.
  •  Prepares travel expense vouchers and invoices for any travel related reimbursements for Executive Committee and Governing Board.
  • Assists in review and reconciliation of Executive Committee and Governing Board budget expenses.

  Provides Administrative Support for Department and Organization as Required

  • Assists with the development and tracking of department projects.
  • Coordinates and completes project tasks as defined and assigned in individual project plans.
  • Assists in budget documentation and tracking for assigned projects.
  • Performs complex administrative duties including the processing of correspondence, support for advocacy and governance communications, developing meeting agendas, travel booking, expense reconciliation, preparation of reports and presentations.
  • Formats, updates and disseminates newsletters, The Leading Edge Blog and other communication platforms.
  • Serves as front desk back-up when needed.


 

QUALIFICATIONS:

Education: Bachelor’s degree or equivalent training and experience required.

  Experience:

  • Demonstrated success in project management, event coordination/facilitation and administrative services.
  • Minimum two years of professional experience in a busy work environment with tight deadlines.
  • Experience in maintaining and updating webpages.

 

Skills:  

  • Demonstrates excellent communications, human relations, customer service and project management skills.
  • Must be able to handle multiple tasks simultaneously.
  • Demonstrates ability to work under pressure with different individuals.
  • Strong initiative and adept with managing deadlines.
  • Exhibits professionalism.
  • Proficient in using varied PC applications, including Microsoft Office.

  Physical Demands: Regular use of desktop and laptop computers is common. Travel may be required and longer than normal hours of work at meetings and conferences may be expected.

  OTHER REQUIREMENTS:

The responsibilities shown above are characteristic of this position and may not include all duties. In addition, AASA staff are expected to work collaboratively and willingly on teams and projects as assigned and to perform other duties as requested.

Ability to travel to meetings in and out of Washington, D.C. metropolitan area (estimated five to ten percent out of area) and manages onsite projects as assigned.

Job classification:      Regular full-time, support; non-exempt; eligible for overtime.
